OVERVIEW
Brivo provides a door access system that allows your members to unlock doors with a keycard, fob or phone app based on the Access Group permissions assigned from their Deskworks Recurring Billing. For example, if you have a Brivo lock on Office 1, someone with a Recurring Billing for Office 1 would probably have permissions for Front Door, Conference Rooms and Office 1. An Open Space member might be in an Access Group that only has permissions for Front Door and Conference Rooms.
When a new member is created in Deskworks, their Name, Email, Phone, Access Code AND Brivo Group is sent to Brivo. When information is edited, this is again sent to Brivo. If a member is inactivated in Deskworks, they are inactivated in Brivo.
INITIATE THE INTEGRATION
- Contact your Brivo reseller and let them know you would like to integrate their product with Deskworks.
- They will give you a quote for the monthly fee for integration.
- Once you accept, they will provide the API key that you will enter in Deskworks.
- At the same time, open a ticket with Deskworks and request the Brivo integration.
- We will deploy it under SETUP > INTEGRATIONS SETUP
SETUP THE INTEGRATION
- Go to SETUP > INTEGRATIONS SETUP
- Click "Connection" and Connect to your Brivo account
- Enter your API Key, given to you by Brivo
- Select your "No access policy" from the dropdown
- "Suspend Brivo user account": If a user is made inactive in Deskworks (or has no upcoming reservations for which they need access), they will not be able to access and open door locks. Their account, however, remains and can be reactivated at any time
- If you select "Delete Brivo User Account", the user is no longer in Brivo, nor are they part of a group. Their fob or card can be reassigned, and their PIN is no longer viable.
- "Suspend Brivo user account": If a user is made inactive in Deskworks (or has no upcoming reservations for which they need access), they will not be able to access and open door locks. Their account, however, remains and can be reactivated at any time
- Map each of your Deskworks' Centers to a Brivo Site.
- Go to SETUP > FACILITIES
- In BRIVO INTEGRATION, add each group that is available at this facility
- Select the correct ACTION (Check In or Check Out) for each Brivo Access Point at the facility.
- If you have multiple facilities, in the top left of your Sidebar, select your next facility and repeat the process.
- In BRIVO INTEGRATION, add each group that is available at this facility
- Go to INVENTORY > PRODUCTS
- Assign a Brivo Group to each Membership Product for which you want Brivo Access.
Note: A Member or Co-member gets their Brivo Group from their Recurring Billing (or the Company's.) If no Brivo Group is assigned to their Recurring Billing Membership Product, they will not have access.
USING THE BRIVO INTEGRATION
- In MEMBERS > MEMBER PROFILE, assign an Access Code.
- This will be sent to Brivo to enable that code to unlock permitted doors.
